The Mission

MicroTau's mission is to improve the efficiency of the global aviation fleet, saving billions in fuel and megatonnes of CO2 every year. We need a full-time office coordinator to ensure the smooth day-to-day functioning of our office and provide administrative support to our Operations team. You will report to the Operations Manager.

What You Will Do

  • Own Office Requests: Be the first point of contact for all office needs to ensure streamlined and consistent operational support

  • Kitchen & Common Area Tidiness: Restock kitchen essentials, manage weekly groceries, and hold the team accountable when things aren’t left tidy

  • Office Inventory: Track and replenish supplies and equipment

  • Postage & Deliveries: Handle domestic and international mail, packages, and couriers

  • Facilities Coordination: Liaise with the building manager and manage any issues related to the office space (e.g., chemical waste collection, repairs and maintenance)

  • Operations Support: Assist in rolling out process improvements, support internal projects, and help the Operations team where needed

  • Travel Bookings: Help coordinate team travel through our Flight Centre Business Partner

  • Office Budgets: Maintain and track internal office budgets (e.g., groceries, staff entertainment) and flag any overspending

  • Systems & Documentation: Maintain and update company documents and records, ensuring everything is well-organised, accurate, and accessible

  • IT Support: Provide first-line tech support and escalate issues to our IT provider when needed

What Success Looks Like

  • First Month: You’ve settled in, built relationships with the team, and taken full ownership of day-to-day operations. You’re confidently managing inventory, restocking the kitchen, and navigating internal requests.

  • First Six Months: You’ve learned our systems and flagged areas for potential improvement. You’ve meaningfully supported the Operations Team

  • First Year: You’re the go-to person for everything related to workplace operations and become known for your proactive, no-nonsense approach. The office runs like clockwork because of you

About You

  • 3+ years of experience in office administration, workplace coordination, or operations support

  • Experienced with tools like Google Workspace, Microsoft Office, and Monday.com. 

  • Ability to quickly adapt to change and are wired to explore technologies to improve processes

  • Confident, proactive and unafraid to speak up or hold others accountable – especially when shared spaces or systems aren’t respected

  • Friendly and approachable, but also direct and firm when needed (think: the office version of Supernanny)

  • Able to prepare workflows and documentation to ensure understanding and compliance with operational processes

  • Highly organised, detail-oriented, and self-motivated

  • Bonus if you have training in first aid, fire warden duties, or WH&S
